Position Summary Information

Objective

To provide clerical assistance in support of the Academic Advising office for the Bryan Campus. Academic Advising is located in the Tejas Center at 3125 S. Texas Ave., Suite 1900.

Essential Duties

Use a computer and a variety of office software applications, including word processing, spreadsheets, databases, presentations, e-mail, and file management.
Organize and scan student educational planners, both hard copy and electronic, while assuring confidentiality of records.
Assist with filing, copying, faxing, and processing of departmental paperwork.
Assist with data collection, entry, processing, verification, and analysis.
Assist with distribution incoming mail and packages. Serve as backup to front office personnel, including answering telephone and greeting visitors.
Respond to general inquiries about admissions, academic advising, student registration, and other related matters.
Operate standard office equipment (e.g., copier, fax, scanner, binding machine, telephone, etc.). Assist with keeping track of office supplies. May be asked to assist staff with daily responsibilities.

Minimum Required Knowledge, Skills and Abilities

The qualified candidate must have experience in an office setting and customer service experience is required. Experience and broad knowledge of computer hardware and software, including word processing, spreadsheets, databases, presentations, e-mail, and file management is needed.
The candidate must have the ability to solve problems and take initiative, and use independent judgment. Candidates must be responsible, courteous, punctual, and reliable.
Candidates must possess a positive attitude and be self motivated with the ability to work as part of a team and/or independently once directed/initiated. One must be comfortable working in a diverse environment. Good communication, both written and oral, and interpersonal skills are needed. The candidate must have good organization and time management skills and peeps personal work area clean and in order.
Required skills include: Ability to operate standard office equipment (e.g., copier, fax, scanner, binding machine, telephone, etc.),
ability to work 15-19 hours per week, ability to work some evenings, ability to work throughout year (Holidays follow the regular employee holiday schedule).

Preferred Experience and Training

High school degree or GED.
Two years of clerical experience or two years of college or business school training.
Two years of customer service experience.
Excellent computer skills including proficiency in all Microsoft Office programs (Word, Excel, PowerPoint, and Access).
